Workday Student: Roles

As the Workday Student implementation progresses, a critical body of work is identifying the roles needed in Workday Student for faculty and staff. Roles (and associated access) can range from the ability to view a student or a course to transacting activities such as registering for a course or processing a transfer or financial aid award.
Roles and security to student information are closely linked (access related Workday Basics and Beyond the Basics videos in the resource folders on the website). It is noteworthy that individuals can have multiple Workday roles since the assignment of roles is based on position activities and job duties; and these activities and duties may vary by position across the institution. As a result, a staff member may have multiple roles in Workday that provide access to data or transactions across both Workday Student functionality as well as Workday Human Capital Management (HCM) and Financials.
To understand what Workday Student roles are needed at LSU, analysis of existing mainframe roles, standard Workday Student roles, and departmental activities has been underway throughout the duration of the project. Much information has already been provided by colleges and other administrative groups.
Workday Student delivers many core support roles. There are basic roles for centralized activities in areas such as financial aid, student records, and admissions. Traditionally, these types of roles allow staff to see across the institution to ensure a complete picture of the student’s time at LSU. Team members continue to test these roles to ensure that staff can transact the full range of necessary tasks and activities.
There are also roles within departments and academic units, such as roles for advisors, department support staff, and faculty. Work is underway to ensure that department administrative staff have access to manage their functional activities. Recently, a survey was sent to Associate Deans to gather feedback in this area. Advising roles (including faculty advisors) and teaching faculty roles were identified in summer 2024. Follow-up regarding roles and role assignments will occur in January 2025 as we move closer to the launch of Workday Student functionality in late February.
